Small Features You Might Have Missed in Friendly Manager

We've rounded up a batch of small features across registration forms, member profiles, merchandise and reporting, plus direct stock tracking for assets connected to Xero. Some are brand new, others have been live for a while and may have passed you by.

Here's what's included:

  • Four registration form updates: gender restrictions on groups, conditional fields, a minimum contact requirement, and hidden forms you share by link

  • Drag-and-drop ordering for your assets and merchandise

Your registration form is the front door to your club. It's where most of your admin either gets sorted, or gets created. Four updates here.

You can now make sure the right people land in gender-specific groups or classes. Simply set the gender on the group/class, and when someone who isn't that gender goes to sign up, that group/class won't appear as an option for them.

Tip: make sure your registration form asks for Gender, so there's something to match against.

Ask follow-up questions with conditional fields

Ever wanted to ask a follow-up question based on how someone answered an earlier one? Now you can.

Say you ask, "Are you available to volunteer?" If they answer yes, a new field can appear asking what they'd like to help with. If they answer no, they move straight on.

It means you get the detail you actually need from the people it applies to, without making everyone else wade through questions that aren't relevant to them.

Force a minimum number of contacts

Sometimes one parent or contact on a registration is fine. Sometimes it really isn't, especially for junior members where you need a backup on game day.

A minimum number of contacts can now be set on a registration form, so you can require two parents or contacts for every child. It's checked at the point of registration, which is far easier than chasing it up afterwards.

There are times when you only want specific people to complete a registration: successful trialists, invited squad members, or a committee-only sign-up.

You can now set a registration form's visibility to hidden, then share it only with the people you email the link to. To get the link, click the link button next to the form's name in your list of registration forms.

Restrict Individual Profiles from Registering

You may already know you can stop anyone with an overdue invoice from registering for a new group or class. But money isn't the only reason a club might need to pause someone's registration.

You can now apply a registration restriction to any individual in your club. You'll find it as an Action item on the member's profile page.

Change the Order of Assets Listed

Your merchandise list doesn't have to sit in whatever order it was created.

You can now drag and drop your Assets and Merchandise into the order you want. Most important at the top, or grouped together in a way that makes sense to your members. Just use the dots on the side of the asset to move it.

The order updates in both places it matters: on your website, and in the asset display your members see during registration. Put the club shirt everyone needs first, and the optional extras further down.

A New Filter on Member and People Reports

Targeted communication through groups is great, but there are always times you need to reach a more specific slice of your club. Under-10 boys for a one-off competition, say.

There's now a new filter option on the Members and People reports, giving you additional criteria to narrow your list. Once you've got the right people, that filtered list can be sent straight to the Mailer.

Track Stock for Xero Assets Directly from Friendly Manager

If you track stock in Xero, this one removes some genuine double handling.

A Friendly Manager Asset or Merchandise item can now be connected directly to the Xero product, rather than to a GL code. Any orders placed in Friendly Manager for that asset will automatically reduce the stock level for that product in Xero.

To set it up, add the Product in your Xero config, then select it from your asset.

Small Things Add Up

None of these updates are going to change how you run your club overnight. But a form that stops the wrong sign-up before it happens, a stock count that looks after itself, and a report filter that saves you a spreadsheet export are all a few minutes back, every week, from every volunteer.
